Let's start by discussing the most useful reports for someone overseeing the ongoing process in the VDR, namely the VDR Administrator.


Note: You have the option to export (to an Excel file) any reports from the VDR to your computer using the Export button located on the right side of the screen.


Note: If you are a regular VDR user, the report available to you will be discussed at the very end of this article.

1.User Logins

This report enables you to monitor the time users from specific groups spend in the system. You can also review the login history of all users. The filtering function provides access to detailed information, including:

  • Login history of an individual user
  • Login history of users in a specific group
  • Logged logins within a defined time frame (e.g., last 24 hours or the past 6 months)

Furthermore, informative charts summarize the activity of all user groups, showing which group spends the most time in the VDR (fig. 1).

2.All Users Activity


This report allows a review of the activity history of all users on documents and folders:

  • Filter by document name, actions taken (viewed, printed, saved), group, specific user, and desired time period (e.g., last 6 months).
  • Visual charts are available. Hovering over a group's activity summary reveals details (green for actions taken on documents and folders, gray for total documents and folders shared with the group). The chart displays the total number of actions related to a document or folder.

You can check if a specific document has been opened once or multiple times by a group by using the available filters (fig. 2).

3.Group Activity Over Time

This report assesses group activity within a chosen time frame. Filter options include activity type (highest or lowest), number of groups, time period, and event (viewing, saving, printing).


4.Popular Documents and Folders

Get insights into the most and least popular documents in the VDR. It calculates user time spent on document analysis. Filters allow specific perspectives.

5.My Group Activity Summary

This report displays activity history of users within your group concerning documents. Filters can narrow down the report to activity related to a specific document (viewing, printing, saving) or the activity history of a specific user within the group (fig. 3).
