02. Access to funcionalities - overview

In this article, you will learn about the features that will allow your group to manage selected areas in the VDR (Virtual Data Room).


Please note that many of these functionalities are crucial from the standpoint of accessing and managing sensitive data.

Familiarize yourself with the details of each available item:

  • Allow bulk save of files and folders from the index level:

Within the Documents tab and navigating further to the Document Structure, you can activate the option to download all documents within a folder at the selected level of the structure. (gif. 1)


Note that bulk saving is applicable only to folders and documents that have been granted saving permissions.

  • Allow file uploading and managing of document structure

Within the main Documents tab, enable access to the Structure management and upload section (fig. 1).

This function allows for uploading documents to the entire structure or selected areas, as well as enabling the management of this structure, including: renaming documents and folders, changing their location, creating new folders, deleting, and downloading content (without protections). (gif. 2)

  • Allow management of groups and groups access rights (to functions and to documents)

Enable the preview of the Permissions tab and activate the ability to add new groups, grant permissions to the structure, files, and folders, edit existing settings, block, or delete them from the system. (fig. 2)

Enable the preview of the Users tab and activate the ability to add new users, edit existing ones, block, or delete them from the system. (fig. 3)

Within the Reports tab, additionally activate access to all 14 reports available in the system. (fig. 4)

  • Allow sending messages to users

Enable the preview of the Messages to Users tab and activate the ability to send external email messages to all users available in the VDR. (fig. 5)

  • Allow managing NDA content, watermark, and automatic emails

Enable the preview of the Settings tab and activate the ability to edit the content of Non-Disclosure Agreements, the watermark displayed on documents in the VDR, or the content of automatic emails sent to users during various events (e.g., content of an email inviting them to activate their account on the project).   • Allow managing notifications for new documents

Enable the preview of the Settings tab and within it, activate the ability to manage the frequency of external email notifications to users regarding newly shared documents in the structure. (fig. 7)

  • Access to statistics

Enable the preview of the Settings tab and grant access to View Statistics, which displays current statistics of data volume loaded into VDR and (optionally) the number of created accounts and sent SMS necessary for logging in (2FA). (fig. 8)
