All permissions within the FORDATA VDR are granted based on groups, design and configure these groups to allign with the requirements of your process..

Group names are visible solely to VDR Administrators.


Group permissions are divided into two types (fig. 1):

AD 1a.

Access to Functionalities - In this section, you define the group's permissions to manage specific functions within the system. For instance, you can specify that the group is authorized to manage a portion of the structure(upload, download, delete). When this function is enabled this specific group will have a new tab available called Structure management and upload, available under the Documents tab


AD 1b.

Access Rights to Files - In this section, you determine what the group can view within the structure. This includes specifying which documents they can access and, optionally, whether they can download files to their computer or print them (from within the VDR). The document structure to which the access rights refer can be found under the Documents tab and then Document Structure.


Below, you can find the most common examples of group permissions based on user access requirements


Scenario 1:

Selected users may be aware of each other (e.g., they are from the same organization) and need access to the same documentation. Create a shared group for them.

Scenario 2:

Selected users are from the same organization but need access to different documents. Create separate groups for them, such as DD Legal, DD Tax, DD Fin.

Scenario 3:

When sharing documentation with only one user, create a separate group for that user.

  • Email addresses of users
  • Activation date (date of invitation sending) to the system
